Board templates and AI

Start from a ready-made template, describe a diagram and let AI draw it, or have AI sum up what is on a board.

The templates

  • Kanban: To do, Doing and Done columns with cards. For launch checklists and team tasks.
  • Timeline: milestones along a line, quarter by quarter. For a yearly plan or a rollout.
  • Flowchart: a start, steps, a decision and an end. For any process with a yes or no question in it.
  • Campaign sequence: emails, waits and follow-up branches. For planning a campaign before you write it.
  • ICP and persona canvas: who you sell to, what they need and why they buy. For targeting and copy.
  • Sales pipeline: deal stages from lead to won. For agreeing what each stage means.
  • Mind map: one idea in the middle with branches around it. For brainstorming.
  • Meeting notes: agenda, notes, decisions and action items. For running a meeting on the board.

Add a template

  • Pick one when you make a board (New board, Start from), or click Templates in the left toolbar of any board.
  • More tools (+) also has quick starts: Flowchart, Table, Timeline, Kanban, Mind map, Doc (meeting notes) and Flows (a campaign sequence).
  • A template is added beside what is already on the board, never on top of it, and everything in it can be changed.
  • The Library at the top right of the board holds the same templates and the six sticky notes, ready to drag in.
1 Templates. 2 Pick one to add it beside your drawing.

Create with AI

  1. Click in the bar at the bottom of the board (Where shall we start?). On a phone, tap AI in the top bar first.
  2. Describe what you want, for example: flowchart of our cold email sequence with 3 follow-ups.
  3. Pick the kind of diagram: Flowchart, Sequence or Mind map, or leave it on Any.
  4. Click Create or press Enter. The diagram is drawn beside your other work, selected and ready to edit.
1 Describe it. 2 The kind of diagram. 3 Create. 4 The diagram AI drew.

Good prompts

  • Say what kind of diagram and what it is about: flowchart of how we qualify an inbound lead.
  • Name the steps you already know: sequence of a 4 email campaign, waits of 3, 4 and 7 days, stop when they reply.
  • Mention the branches: what happens if they reply interested, not now, or ask to unsubscribe.
  • For a mind map, give the centre and the branches: mind map of our ICP with industry, company size, roles and pains.
  • Keep it to one diagram per prompt. Ask again to add another beside it.

What AI can draw

  • Flowcharts (steps, decisions and branches), sequence diagrams (who sends what to whom, in order) and mind maps.
  • It draws new shapes in the board's colours. It does not change what is already on the board, draw pictures or read images.
  • If the AI cannot turn your words into a diagram, you see a message and nothing is charged. Try describing it differently.

Explain

  1. Select the shapes, notes or frame you want summed up. With nothing selected, Explain reads the whole board.
  2. Click Explain in the AI bar.
  3. A purple note with a short summary is added beside what you selected.

Credits and limits

  • Each diagram and each summary uses credits at your account's price, shown in Usage and limits. Your credits are given back when the AI cannot answer.
  • With your own AI model connected in Settings, Integrations, AI models, boards use no credits for AI.
  • A prompt can be up to 600 characters, and Explain reads up to 6,000 characters of text.
  • Each person can ask the AI up to 20 times a minute.
  • If AI is busy you see Creating with AI is unavailable right now. Please try again later.
