Boards

Whiteboards for planning campaigns, mapping sequences and sharing ideas with your team, with templates and AI built in.

What boards are for

A board is an endless canvas your whole workspace can draw on. Use it to think something through before you build it, to explain it to your team, or to share it with a client as a read-only link.

Examples for email marketing

  • Map a campaign sequence before you write it: each email, the waits between them and what happens when someone replies.
  • Plan an A/B test: the two subject lines or offers side by side, with what you expect to learn.
  • Sketch how replies are handled: interested, not now, wrong person and unsubscribe, and who does what next.
  • Plan a launch on a Kanban: mailboxes to warm up, domains to check, lists to build and copy to approve.

Examples for lead generation

  • Draw your ideal customer profile and personas: who they are, what they need and why they buy.
  • Map where your leads come from and how each list is enriched, verified and scored before it reaches a campaign.
  • Plan a sales pipeline from new lead to won deal, with what moves a deal from one stage to the next.
  • Brainstorm new markets with sticky notes, then group the best ideas in a frame.

Make a board

  1. Open Board from the menu. It is in both AI Email Marketing and AI Leads Engine.
  2. Click New board.
  3. Type a name, or leave it as Untitled board.
  4. Under Start from, pick Blank board or a template (see Board templates and AI).
  5. Click Create board. The board opens full screen.
1 The board name. 2 Start blank or from a template. 3 Create board.

Find, rename, duplicate and delete boards

  • The Board page lists every board in the workspace with a preview, the time it was last changed, who changed it and Shared when it has a share link. The most recently changed come first.
  • Type in Search boards and press Enter to find a board by its name. Click Clear search to see them all again.
  • Click a board to open it.
  • Rename: click the three dots on a board, then Rename. You can also add a description. Inside a board, click its name in the top bar and type a new one.
  • Duplicate: click the three dots, then Duplicate. The copy is named Copy of followed by the board name, and has everything the board has except its share link.
  • Delete: click the three dots, then Delete, and confirm. A deleted board and its share link stop working straight away.
1 Search boards. 2 New board. 3 A board with its preview. 4 Open, Rename, Duplicate and Delete.

The editor at a glance

  • Top bar: the arrow back to all boards, the board name (click it to rename), Saving or Saved, Help and shortcuts, Export and Share.
  • Left toolbar: Create with AI, Select, Move the board, Text, Sticky note, Shapes and lines, Pen, Frame, Templates and More tools (+). Undo, Redo and Zoom to fit sit at the bottom.
  • More tools (+) has a search box, quick starts (Diagram with AI, Flowchart, Table, Timeline, Kanban, Mind map, Doc and Flows) and every other tool: Image, Eraser, Laser pointer and Stickers and emoji.
  • The menu at the top left of the board: Open a board file, Export as PNG image, Export as SVG image, Download the board file, Reset the canvas and Help and shortcuts.
  • Library at the top right: ready-made sticky notes and templates to drag onto the board, and your own saved items.
  • The AI bar at the bottom (Where shall we start?): describe a diagram, pick its type, then click Create, or click Explain.
  • Bottom left: zoom out, the zoom level (click it to go back to 100%) and zoom in, with undo and redo. The ? at the bottom right also opens Help and shortcuts.
1 Board name. 2 Left toolbar. 3 Board menu. 4 Library. 5 Help, Export and Share. 6 The AI bar. 7 Zoom, undo and redo.

Who can see a board

  • Boards belong to the workspace. Everyone in the workspace can open and edit every board, and nobody else can.
  • People outside the workspace see a board only through a read-only share link you create, and only until you turn sharing off.
  • Images on a board are kept with the board and are only shown to the workspace and to people with its share link.
  • The AI only reads what you type in the AI bar, or the text of the shapes you ask it to explain.

Limits

  • Up to 500 boards in a workspace.
  • Up to 4 MB of drawing on one board, about 20,000 shapes. Images do not count toward it.
  • Up to 200 images on a board, each up to 4 MB: PNG, JPG, GIF, WebP or SVG.
  • Create with AI takes up to 600 characters, and Explain reads up to 6,000 characters of text.
